Remittance advice: what it is and how it speeds up reconciliation
A remittance advice tells a supplier which invoices a payment covers. Without one, a lump sum arrives and someone spends an afternoon working out what it was for.

"Remittance advice meaning" is searched by suppliers who have received an email with that subject line, and by finance teams who have just received a lump sum with no explanation. A remittance advice is the explanation.
What a remittance advice is
A message from the payer to the person being paid, listing what the payment covers. It usually arrives by email or through a supplier portal around the time the money is sent.
What it contains
| Field | Example |
|---|---|
| Payer | Acme Inc. |
| Payment date and amount | 12 Nov 2026, USD 14,250.00 |
| Method and reference | ACH, ref ACME-PAY-0451 |
| Invoices paid | INV-1031 USD 9,000.00; INV-1034 USD 5,500.00 |
| Deductions | Credit note CN-12, USD 250.00 |
Without it, the supplier sees 14,250 USD arrive and has to guess which invoices it settles.
Remittance data inside the payment
Payments can carry their own reference:
- ACH: a short reference, and in some formats an addenda record with remittance detail.
- SEPA: a remittance information field of up to 140 characters, or a structured creditor reference.
- SWIFT: a remittance field on the payment; ISO 20022 messages can carry much richer structured remittance data.
The reference the payer types is what you see on your statement.
The habit that saves the most time
Ask every client, on every invoice, to quote the invoice number as the payment reference. Then most payments match themselves, and you need a separate remittance advice only for payments covering several invoices. The invoicing guide shows where to put the instruction.
When you pay suppliers
Send a remittance advice with each supplier payment, especially when it covers several invoices or has deductions. It prevents "we have not received payment" emails, and it is courteous. For contractors, a short line per payment is enough; see how to pay international contractors.
On Rivet
Rivet shows the payer's reference on each incoming payment, and lets you add a reference to every payout, so both sides of the trade can match payments to invoices. See Payouts.
Questions people ask
What does remittance advice mean?
A document or message from a payer telling the recipient that a payment has been made and which invoices it covers. It lets the recipient match the money to the right invoices quickly.
What should a remittance advice include?
The payer's name, the payment date and amount, the payment method and reference, and a line for each invoice paid with its number and amount, plus any deductions such as credit notes or bank charges.
Is a remittance advice a receipt?
No. A remittance advice comes from the payer and says what they intend the payment to cover. A receipt comes from the recipient confirming the money was received.
How do payment references help?
A reference travels with the payment through the bank, so the amount arrives labelled. If clients quote your invoice number, you can match most payments without a separate remittance advice.
